An enterprise AI assistant for 2,000+ staff

An agentic AI assistant for every member of staff, running privately on the organisation's own servers. It answers from company policy, handles HR requests with the ERP, and works inside Outlook: summaries, search and drafted replies.

The challenge

Everyday work, buried in documents and inboxes

Staff spent hours finding the right policy, waiting for HR letters and working through email.

Policies nobody could find

Company and department policies were spread across documents, and answers depended on who you asked.

HR requests by hand

Leave balances, salary details and letters for banks or car loans all went through the HR team, one by one.

Too much email

Long threads to read, emails to find and replies to write, every day.

What we did

One assistant, on the organisation's own servers

01

Private by design

Models run on an on-premises GPU cluster, fine-tuned and customised for the organisation; no data leaves its network.

02

Company knowledge

Every company policy in one knowledge base, with department knowledge bases on top, answered with the relevant source.

03

HR, connected to the ERP

Staff check leave balances, salary and benefits securely, and request HR services in plain words.

04

Letters in seconds

"I need a letter for the bank" or "for a car loan": the assistant prepares the right letter and emails it within seconds.

05

Inside Outlook

Summarise long emails, find any email, and draft replies, with actions as native cards in the inbox.

06

Agentic, with approval

It plans multi-step requests and completes them, with staff confirming what matters.

Use case

An engineer in the facilities team

Assistant

Summarise my unread emails and tell me what needs me today.

14 unread. Three need you today: the chiller contract renewal (reply by 12:00), a site visit request for Thursday, and your expense claim, which is missing a receipt. I have drafted replies for the first two.

Send the contract reply, and ask for Thursday at 10.

Done. Both are sent from your Outlook, and the visit is on your calendar as tentative.

How many days of leave do I have left?

You have 12 days of annual leave and 3 days carried over, which expire on 31 March.

I need a salary letter for the bank, for a car loan.

Your salary certificate for the bank is ready and has been sent to your email, signed by HR. It took 6 seconds.

What is the policy on working from home on Fridays?

Under the hybrid work policy (section 4.2), your department allows home working on Fridays with your manager's approval. Here is the paragraph, and the form if you need it.

Behind the scenes
  1. Read and summarised Outlook, drafted and sent replies
  2. Read the leave balance from the ERP, securely
  3. Generated an HR letter from the template and emailed it
  4. Answered from the policy knowledge base, with the source
